The position ensures that proper accounting procedures are used when recording financial information into accounting software. ESSENTIAL DUTIES AND RESPONSIBILITIES: Receives and reviews schools annual budgets. Annual budgets will be submitted to the Executive Director upon completion and after consideration of any necessary feedback from school bookkeepers. Communicates with school bookkeepers regarding general procedures and to address any questions or concerns in a timely manner. Provides assistance and guidance to schools designated backup bookkeepers during times of absence of the primary school bookkeeper. May temporarily serve as a schools bookkeeper during a time of absence, if necessary and as scheduling allows. Verifies that each schools daily deposit is properly posted by the school bookkeeper into the appropriate general ledger account. This will include tying amounts from copies of deposit slips received from school bookkeepers to the cash collections report from CSI. Any corrections will be made via adjusting journal entry and will be communicated to the school bookkeeper. This information will also be used for reconciling bank accounts. Submits all adjusting journal entries to the Director of Business Services, or designee in the Directors absence, for signature indicating approval prior to posting in CSI. Batches schools check requests, by level, for the weekly account payable check run, including verification of authorization and related, required information in obtaining the Executive Directors signature for check requests. Prepares monthly bank reconciliations for the level checking accounts, to include recording of monthly interest and fees, and obtain Director of Business Services signature indicating approval. Prepares monthly activity reports by school and any other necessary reports for upcoming Area Advisory Council meetings. Work with other level bookkeepers to group schools monthly activity reports by Area. Monitors school activity accounts transactions, including consideration of compliance with approved budgets. Makes transfers between accounts upon verification that transfers are properly authorized. Transfer forms should contain the appropriate signature(s) indicating approval. Assists other level bookkeepers, as needed, including serving as backup during absences. JOB SPECIFICATIONS EDUCATION and/or EXPERIENCE: Requires at least a high school diploma. Working knowledge of accounting processes. Working knowledge of business software applications including spreadsheets, word processing, and databases. Bookkeeping experience is preferred. Such alternatives to the above qualifications as the Board may find appropriate and acceptable. CERTIFICATES, LICENSES, REGISTRATIONS: Must possess a valid state drivers license.
